In order to ensure fair access to my business hours, I have adopted the scheduling policy below. I came up with this policy by researching what other tutors are doing, and what professionals in other appointment-based industries do. I am including my thought process, but if you have any questions or concerns please contact me.
50% will be charged upfront at the time of scheduling.
When I confirm an appointment I set aside time for the session itself as well as time for preparation. Sometimes that means having to sleep early, wake up early, or even cutting partying plans short. There is a cost to that planning as much as there is a cost for the session. The upfront charge is meant to encourage clients to schedule responsibly. When a client schedules a session, the time slot becomes unavailable to all other clients. When a client cancels or reschedules that session it is a disservice to all other clients who had to settle for a less-preferred time slot.
Likewise, if I have to reschedule or cancel a session I would be doing you a disservice. In order to compensate you for the inconvenience, I will discount 25% off the following session.
Clients can reschedule appointments to another time slot within 4 days, if one exists, for a 25% fee.
When a client reschedules an appointment they are effectively taking up two different time slots. It is especially the case when they have to reschedule just before their session as it is harder for me to replan my days.
When I take on a new client for a standardized test I propose a plan for how we’re going to go from A to B. Frequent rescheduling messes up my ability to control the process. The “4 days” part of the policy is to encourage quicker rescheduling so our milestones and timelines aren’t interrupted too much.
Canceled appointments are entitled to a 50% refund.
Please refer to my thought process for scheduling. I would rather clients reschedule their sessions than outright cancel in order to minimize interruptions to our milestones and timelines.
If I have to cancel a session I will give you a full refund and apply a 25% discount to the upcoming session.
If I have to reschedule a session, I will apply a 25% discount to the next session.
If we have to postpone a session because of technical difficulties or if life just gets in the way I will try my best to accommodate as long as we have the session within the same day and around the same time. If we have a session scheduled in the morning but have to push it back to sometime later in the day because of some extenuating circumstance I will usually be accommodating as long as it doesn’t interrupt my personal plans. Likewise, if I ask to push back a session, you can always object and I’ll cancel or reschedule the session from my end and apply the appropriate refunds and discounts.
